Indiefield is a market research fieldwork company. This Privacy Notice explains how and why we collect and use personal information, how long we may keep it, who we may share it with and the rights you have under data protection law.
In most circumstances, Indiefield is the data controller, which means we decide why and how your personal information is processed.
Sometimes a client provides us with personal information specifically so that we can carry out research on its behalf. In those circumstances, we may act as a data processor and process the information according to the client's lawful instructions.
Whatever our role, we take the protection of personal information seriously.
Our Data Protection Officer is Tara Lyons. You can contact her at tara.lyons@indiefield.co.uk , by telephone or by writing to the address above.
The information we collect depends on your relationship with us and the particular research project involved. It may include:
Some research projects may require information which is considered special category personal data under data protection law. Where this applies, we will ensure that we have an appropriate lawful basis and additional condition for processing that information.
We only ask for information which is relevant to what we are doing.
Most of the personal information we process is provided directly by you. For example, you may:
We may also receive your personal information from another source. For example:
We may obtain professional or business contact information from publicly accessible sources, including professional registers, business directories, company websites and other legitimate public sources. We use this information to identify people who may be suitable to take part in genuine market research.
We are not contacting you to sell goods or services. Our purpose is to invite people to take part in market research, and participation is always entirely voluntary. Where we obtain your personal details from another source, this Privacy Notice explains where they came from, why we use them and how we handle them.
In circumstances where providing privacy information individually to everyone whose information we obtain would involve a disproportionate effort, we may rely on the exception provided for under data protection law. We will nevertheless make the relevant privacy information publicly available and take appropriate measures to protect your rights and freedoms.
If we contact you directly about a research opportunity, we will provide or direct you to information explaining why we are contacting you and how we obtained your details. You can ask us at any time where we obtained your personal information and we will provide this information where we are able to do so. If you would prefer not to hear from us about research opportunities, you can unsubscribe or ask us not to contact you at any time.
We use personal information where necessary to operate our business and carry out genuine market research. This includes:
The lawful basis we rely upon depends on why we are processing your information.
In many circumstances we rely on our legitimate interests in operating a market research business and enabling genuine market research to take place. This may include identifying and contacting people who may be suitable for research, including using professional or business contact information obtained from publicly accessible sources. Where we rely on legitimate interests, we consider the interests, rights and freedoms of the individual and whether our use of the information is reasonable and proportionate. You always have the right to object to processing based on legitimate interests.
In some circumstances we rely on your consent, particularly where the nature of the information or research requires it. Where we rely on consent, you can withdraw that consent at any time.
We may process information where this is necessary to perform a contract with you or to take steps at your request before entering into a contract.
We may process or disclose personal information where we are required to do so by law.
Where special category personal information is processed, we will also identify an appropriate additional condition under data protection law.
Taking part in market research is always voluntary. You do not have to apply for or participate in any research project and you can decide not to continue with an application or research activity. Being contacted by us does not oblige you to take part. Likewise, applying for a project does not guarantee that you will be selected. Market research projects frequently have very specific requirements and quotas.
Where you apply for or participate in research, relevant information may be shared with the market research client commissioning the project or with other organisations legitimately involved in delivering that research.
For example, if you attend a focus group or interview, you may meet or speak directly with our client or its researchers. For some projects, researchers may visit you at home or another agreed location.
We will only share information that is appropriate for the research and will take reasonable steps to ensure that organisations receiving personal information are required to handle it appropriately.
We do not sell your personal information and we do not provide your information to third parties so that they can directly market goods or services to you.
We may also disclose personal information where required by law, for example in response to a court order or lawful request from an appropriate authority.
We keep personal information only for as long as it is reasonably necessary for the purpose for which it was collected, taking account of our legal, regulatory and business requirements. We may retain your information and continue to invite you to suitable research opportunities until you ask us not to.
Information relating to individual research projects may be retained for an appropriate period after the project has finished for administration, quality control, fraud prevention, client requirements and the establishment or defence of legal claims.
Where a client has provided information to us and we are acting as its processor, we will retain or delete that information in accordance with the client's lawful instructions.
We may retain a minimal suppression record where you have asked us not to contact you. This enables us to respect your request and avoid inadvertently adding or contacting you again.
Depending upon the circumstances and our lawful basis for processing your information, you may have the right to:
There is normally no charge for exercising your data protection rights.
We will normally respond to a valid request within one month, although data protection law allows this period to be extended in certain circumstances.
You can ask us to stop contacting you about research opportunities at any time. You can use the unsubscribe facility provided in our emails or contact us directly. Where you ask us not to contact you, we may retain sufficient information to maintain a suppression record so that we can honour your request in future.
We may restrict someone's access to our services where this is reasonably necessary to protect our staff or others from threatening, abusive or otherwise unacceptable behaviour. Where a restriction is imposed, we will maintain an appropriate record explaining the restriction and will periodically review whether it remains necessary.
When you telephone our office, we may collect Calling Line Identification information, which is the telephone number you are calling from unless it has been withheld. We may retain information about the date, time and duration of calls. Some calls may be recorded for training, quality, security or evidential purposes. We also maintain statistical information about calls made and received.
Emails sent to us, including attachments, may be monitored or automatically scanned for viruses, malicious software and security purposes.
If you contact or interact with us through LinkedIn, your personal information will also be processed by LinkedIn in accordance with its own privacy arrangements. We may use information you provide to us through LinkedIn to respond to you, communicate with you and deal with your enquiry or interaction.
We may collect information about how people use our website to understand its performance, maintain security and improve our services. Where we use analytics technologies, cookies or similar technologies which require consent, we will ask for that consent before they are used. You can manage your cookie preferences through the cookie controls available on our website.
Wi-Fi may be available to visitors to our office. Technical information such as your device address and an allocated IP address may be processed when you use the service.
We want to handle your personal information properly and transparently. If you have any questions about how we collect or use your information, would like to exercise one of your rights, or think we have got something wrong, please contact:
Please feel free to contact me. I'm always happy to help.
You also have the right to complain to the Information Commissioner's Office if you are unhappy with how we have used your personal information. We would, of course, appreciate the opportunity to resolve any concern with you first.
